China supplier payment terms should release cash only as the order earns trust. For a first order, tie each payment point to evidence you can inspect: an approved sample, a clear purchase order, production proof, an inspection result and the shipping documents. The percentage matters, but the release condition matters more.

What are sensible China supplier payment terms for a first order?

A first order needs a staged structure, not an informal promise. A deposit can reserve capacity after the sample and specifications are signed off. The final balance should follow the evidence defined in the purchase order, such as a passed inspection and agreed document set. Keep the supplier, beneficiary bank account and invoice entity consistent.

Why should the sample approval come before the production deposit?

The approved sample turns a vague conversation into a reference point. Record its date, version, material, finish, dimensions and any allowed tolerance. If the product needs labelling or market documentation, add that requirement before production begins. Do not treat a messaging-app photo as the final specification.

For custom goods, preserve a signed sample approval, purchase order and proforma invoice in one order file. A change to packaging, colour or component source should trigger a written revision. That is less dramatic than a dispute after a container has left port.

Which payment methods change risk, and which do not?

Payment method allocates risk differently; it does not verify a factory or guarantee product quality. Open account commonly puts payment after delivery, while advance payment shifts credit risk toward the buyer.

That can be useful for larger or higher-risk transactions, but a letter of credit checks documents, not whether every unit meets your commercial expectations. Align the document requirements with the order file and obtain bank advice before using one.

What should trigger the final balance payment?

The final balance should be linked to a short, observable checklist. Common checkpoints are quantity confirmed, inspection report reviewed, agreed carton marks verified, shipping documents consistent with the buyer and route, and beneficiary details reconfirmed. Decide in advance which failure pauses payment and who can approve an exception.

Do not merge every advance into one unexplained transfer. For tooling, state ownership, storage, maintenance, access to files and what happens if production moves. For samples, define whether the amount is credited against a later order.

This separation makes a finance review much easier. It also exposes a frequent problem early: a supplier asking for payment to an unrelated personal account or changing beneficiary details late in the process.

What must be checked before goods leave China?

Payment controls sit inside a wider import file. Confirm commodity classification, destination-market product rules, importer registration and tax treatment before the final release. No fixed percentage is universally safe. Its suitability depends on the supplier record, product customisation, evidence before release, remaining balance and the buyer's contractual remedies. Treat any percentage as one part of a control plan.

Should the balance be paid before shipment?

Some suppliers request it, especially for new buyers. If that is proposed, decide whether inspection, document review, payment method and supplier verification make the residual risk acceptable. Put the agreed trigger in the purchase order.

Can an inspection replace a contract?

No. Inspection evidence is only useful when the order states what will be checked and what happens when it fails. The contract or purchase order should define product, acceptance, delivery and payment terms.

What is the first red flag?

A late change in beneficiary bank details deserves immediate verification through an independently known contact channel. Pause the transfer until the legal entity, invoice and banking instructions line up.
